Problem

Healthcare facilities across the U.S. struggled to determine the appropriate staffing levels for infection preventionists (IPs), especially in smaller or non-standard settings. Manual calculations based on outdated ratios often resulted in under- or over-staffing, leading to compliance risks and inefficiencies.

Some of the core challenges included:

  • Lack of standardization for IP staffing recommendations across different facility types

  • Difficulty in capturing facility-specific factors (like bed count, facility category, FTEs) into one system

  • No automated mechanism for calculating minimum FTEs based on thresholds and ranges

  • Limited user permissions and controls for administrators to manage data at scale

Solution

We built a robust staffing calculator web application that allows users to input key facility details and receive tailored staffing recommendations, including logic-based overrides for minimum requirements.

Key features of the solution:

  • Role-Based Access: The system supports Admin and User roles, ensuring secure data control and limited access to sensitive admin-only fields.

  • Facilities & Facility Types: Admins can manage predefined facility types (e.g., Hospital, Long-Term Care, Ambulatory), with specific configuration for baseline staffing ranges and thresholds.

  • Dynamic Questions: Admins create categorized questions of various types (number, string, single/multiple choice), each tied to facility type and optionally included in staffing calculations.

  • Business Logic Integration: The tool accounts for conditions like zero FTEs, ranges that fall below minimum thresholds, and weighted questions, delivering more accurate recommendations.

  • Baseline Management: Admins can define and update baseline staffing ratios (e.g., 1 IP per 50 beds), ensuring recommendations reflect both default and range-driven logic.

  • Conditional Visibility: Questions can appear or remain hidden depending on user responses, such as licensed bed count or selected facility type.

  • Comprehensive Reports: Users receive clear outputs, including current staffing ratio, recommended ratio, and whether their reported staffing falls above or below expectations.

The platform ensured that no facility—regardless of size—fell below critical minimums while also preventing over-staffing where not needed. Administrators appreciated the flexibility to manage questions, categories, and visibility logic, while users experienced a streamlined interface that delivered clear, actionable insights. As a result, the tool has become an essential asset in staffing planning and compliance reporting across participating healthcare organizations.

As a result, a couple of research papers were written, medical workers in many hospitals negotiated increase in the number of employees.
